SMPS Registration and Cancellation Policy

Requests for cancellation must be made in writing by letter, or e-mail by the date prescribed on the registration form and website. No phone calls will be accepted. Cancellations are not accepted after the published date. Please allow four to six weeks after the event’s conclusion for any refund or other credit to be provided. In most cases, in lieu of canceling you may transfer your registration to another person without penalty.

Registration is on a first-come, first-served basis and subject to change. Space in the educational sessions, tours, etc. may be limited and are subject to the control of the Fire Marshall or other regulations that are beyond the control of SMPS. Some events may have their times and dates change or be canceled due to organizational and event needs, and to things beyond the control of SMPS and any affiliated host organization(s). SMPS will make every effort to notify you in advance of changes and any applicable refunds or price adjustments.

Registering for an SMPS event constitutes an agreement between you and SMPS. Upon registering, you agree to pay all fees in a timely manner, adhere to this cancellation and other registration policies, and adhere to a professional conduct during the meeting. Regardless of when and if you pay your fees this cancellation policy applies. Furthermore, you are ultimately responsible for your fees even if another party (such as your employer) has expressed its intent to pay them on your behalf. Additionally, SMPS cannot be held liable for travel disruptions, changing business needs, or personal situations that may affect your participation.

The performance of the agreement by SMPS may be affected by force majeure (including but not limited to acts of God, acts of war or other acts of enemies, government regulation, disaster, strikes, floods, civil disorder, curtailment of transportation facilities, or other emergency or event beyond the control of the parties), thus making it inadvisable, unsafe, illegal, or impossible to provide required accommodations and/or meeting facilities, hold the meeting, or travel to the meeting. In the event of force majeure, SMPS may terminate the agreement upon providing written notice by email or other means to the other party without penalty or obligation. Such right of termination shall not be unreasonably exercised.

In addition, SMPS reserves the right, in our sole discretion, to cancel the entire event (or portions of) and any affiliated events. In that case, SMPS shall refund to you all registration fees it has received from you for this meeting but shall have no further obligation to you of any type, whether monetary or otherwise. Accordingly, SMPS shall in no event have any liability to you and shall have no other obligation to you of any type except as expressly stated in the preceding sentence. Such right of termination shall not be unreasonably exercised. SMPS and any affiliated host organization(s) are not responsible for errors or omissions on any website.

SMPS will take photos and videos of attendees throughout events, meetings, and conferences. These photos are for SMPS use only and may appear on the SMPS Website, email, print marketing, conference brochures, social media outlets, promotional videos, or other future marketing channels.

This also includes photos uploaded using the SMPS convention app. By virtue of your attendance, you agree to the usage of your likeness in such media without compensation.
